Synergy End of Quarter Process

This guide walks through the full end-of-quarter workflow in Synergy, including updating grades, updating attendance, switching to the new grading period, generating the GBK201 report cards, and attaching them to student records.

Overview

At the end of each quarter you will:

  • Run Update Grade
  • Run Update Absences
  • Finalize the current quarter
  • Switch Synergy to the new quarter
  • Generate and attach report cards using GBK201
ℹ️ Pre-requisite: Ensure all teachers have posted and finalized their grades before beginning this process.

Step 1 – Run Update Grade

  1. Go to Grading > Update Grade.
  2. Select the Quarter you are closing
  3. Under "Operation Type" select Update Grading Records
  4. Click the Update Grading Records button at the top.
  5. Wait for the confirmation message.
This ensures all gradebook marks flow correctly into Class Grade and Student Grade screens.

Step 2 – Run Update Absences

  1. Go to Grading > Update Grade.
  2. Select the same quarter you are closing.
  3. Under "Operation Type" select Update Absences
  4. Click the Update Grading Records button at the top.
  5. Wait for the confirmation message.
This populates absence totals for the report card (Att1–Att6 columns, if used).

Step 3 – Finalize the Closing Quarter

  1. Go to Grading > Grading Setup.
  2. Select the quarter you are closing (for example, Quarter 1).
  3. Under TeacherVUE Options Make sure it NOT marked "Report Period Data is Editable".
  4. Select the quarter you wish to open and check "Report Period Data is Editable" under TeacherVUE Options
  5. Click Save.
⚠️ Important: Synergy cannot have two grading periods open at the same time. You must close Quarter 1 before opening Quarter 2.

Step 4 – Switch to the New Quarter

  1. Stay in Grading Setup.
  2. In the dropdown at the top of the page that says "Current Grading Period", Select the next quarter (for example, Quarter 2).
  3. Click Save.
Teachers can now enter grades for the new quarter immediately.

Step 5 – Open GBK201 Report

  1. Navigate to:
    Grade Book > Reports > GBK201 – Standards Based Report Card.
  2. Verify the Reporting Period at the bottom.

Step 6 – Set Student and Teacher Filters

  1. Leave fields blank to run for all students, or narrow by Grade/Student as needed.
  2. Select a teacher if you need to limit the report, otherwise leave blank.

Step 7 – Prepare Attachment Options

⚠️ Important: The Archive to Student Documents options are hidden while Batch Process is checked. You must uncheck it to reveal the attachment settings.
  1. In the Options section, uncheck Batch Process.
  2. Scroll to Other Options.
  3. Check Archive to Student Documents.
  4. Select Grade Report under Document Category.
  5. (Optional) Add a comment such as “2025–26 Q1 Standards Report Card”.
Synergy will create one PDF per student and store it in their Student Documents tab.

Step 8 – Confirm Reporting Period & Schools

  1. Under Reporting Period, select the correct quarter (for example, Quarter 1).
  2. In Schools to Print, click Add if you need to specify a school.

Step 9 – Run GBK201

  1. Review settings carefully.
  2. Click Print at the top of the screen.
  3. Wait for processing to complete.
👀 Tip: Once complete, the generated report cards appear under each student’s Documents tab and also publish to ParentVUE/StudentVUE depending on district configuration.

Step 10 – Verify a Student Record

  1. Open a test student in Synergy.
  2. Go to the Student Documents tab.
  3. Confirm the new Grade Report appears and opens successfully.
📄 Final Check: If the document appears correctly, families can see it in StudentVUE/ParentVUE.
