Accounts Payable – Getting Started

Accounts payable can feel overwhelming at first, but with some organization and the right tools, you’ll quickly become comfortable with the process. This guide will walk you through the basics and point you toward the resources you’ll need.


Step 1 – Access iVisions

Reedsport School District uses the iVisions suite for accounting tasks. You can access it here:

Tip: Use Microsoft Edge to open the site. You can turn it into an app and pin it to your taskbar for quick access. See instructions here: Creating and Pinning an App.

Step 2 – Understand the File Layout

All accounting files are organized on the SharePoint drive (accessible via File Explorer):

Within the top-level folder you’ll find:

  • Templates & Common Documents – Frequently used resources.
  • Year-Specific Folders – Each fiscal year includes:
    • Scanned & Attached: Store requisitions or invoices you’ve scanned/downloaded under the vendor’s name.
    • Payables: Keep copies of payables lists you’ve sent to ESD.

Step 3 – File Naming Convention

Always rename scanned or downloaded documents for easy tracking using this scheme:

CompanyName_DocumentType_DocumentNumber_Location_Date

Example: Invoice #12345 from company ABC, work at RCCS on April 1, 2023 → ABC_Invoice_12345_RCCS_4.1.23

Important: Always maintain two copies of all documents:
  • One physical (paper copy)
  • One digital (saved in SharePoint)
